  • Private medical insurance information, where applicable.

Why We Collect Your Information

We use your personal information to:

  • Provide Speech and Language Therapy assessment, treatment and advice.

  • Communicate with you regarding your appointments and care.

  • Prepare reports and clinical correspondence.

  • Liaise with healthcare professionals involved in your care, where appropriate.

  • Process payments and invoices.

  • Meet our legal, professional and regulatory obligations, including those required by the Health and Care Professions Council (HCPC).

Our Lawful Basis for Processing Your Information

As a healthcare provider, VC Speech Therapy processes personal information to provide healthcare services, fulfil our contractual obligations, comply with legal and professional requirements, and protect the vital interests of our clients where necessary.

Where your consent is required—for example, to share information with another healthcare professional outside your direct care—we will always ask for it.

How We Store and Protect Your Information

Your information is stored securely using trusted systems and is only accessible to those involved in providing your care or supporting the administration of VC Speech Therapy.

We take appropriate technical and organisational measures to protect your personal information from unauthorised access, loss, misuse or disclosure.

Use of Heidi Health

VC Speech Therapy may use Heidi Health, a secure healthcare documentation platform, to assist with the preparation of clinical notes.

Heidi Health processes personal information securely in accordance with UK GDPR requirements. Information processed through Heidi Health forms part of your confidential clinical record.

Who We May Share Your Information With

We will only share your information where it is necessary to support your care, where you have given consent, or where we are legally required to do so.

This may include:

  • Your GP.

  • Consultants or other healthcare professionals involved in your care.

  • Private medical insurers, where applicable.

  • Secure service providers who support the delivery of our services (for example, Heidi Health, Zoom and Google Workspace).

  • Organisations where disclosure is required by law or where there is a safeguarding concern.

How Long We Keep Your Information

Clinical records are retained in accordance with current legal and professional requirements. VC Speech Therapy follows the NHS Records Management Code of Practice and will normally retain adult clinical records for 8 years after your last appointment, unless a longer retention period is required by law.

Records are securely destroyed or permanently deleted once they are no longer required.

Your Rights

Under UK data protection law, you have the right to:

  • Request access to your personal information.

  • Request correction of inaccurate or incomplete information.

  • Request restriction of processing in certain circumstances.

  • Request erasure of information where legally applicable.

  • Object to certain types of processing.

  • Request a copy of your information in a portable format where applicable.
